1. Introduction

This Privacy Policy applies to the CPKEye Driver App ("the App"), developed and operated by CPKEye ("we," "us," or "our"). The App is an enterprise tool designed for South African freight and transport drivers to log fleet data, report incidents, and maintain compliance on behalf of their employer or fleet operator ("Your Employer").

This policy explains what information we collect through the App, how it is used, and the permissions required to make the App function. Because you are using this App as an employee or contractor, the data collected is primarily shared with and controlled by Your Employer via the CPKEye Control Room dashboard.

2. Information We Collect

To provide accurate fleet management, maintenance tracking, and compliance services, the App collects the following types of information:

A. Information You Provide Directly

  • Pre-Trip and Post-Trip Checklists: Data regarding the condition of the truck, trailer, or interlink unit, including brakes, indicators, and tyre checks.
  • Fuel Logs: Information regarding fuel intake, including litres pumped, amount paid, and the fuel supplier.
  • Incident and Hazard Reports: Text descriptions and details regarding accidents, cargo issues, or road hazards.
  • Photographic Evidence: Photos taken through the App to document maintenance failures, incident reports, or fuel receipts.

B. Information Collected Automatically

  • Offline Cache Data: Data is cached locally on your device and automatically synced to the Control Room once connectivity is restored.
  • Device Information: Basic diagnostic data about your device, such as OS version and model, to help the App function and troubleshoot technical issues.
  • Location Data (if enabled by Your Employer): GPS coordinates associated with fuel logs, incident reports, and checklist submissions to verify where an event occurred.

3. Device Permissions Required

  • Camera and Photos: Required to capture and upload photographic evidence for 15-point checklists, maintenance tickets, and incident reporting.
  • Local Storage: Required to save checklist and fuel log data locally when operating offline or out of cell coverage.
  • Location Services / GPS: Required to geo-tag fuel stops, incident reports, and checklist submissions for verification purposes.

4. How We Use Your Information

  • Transmit real-time vehicle health, checklist, and maintenance data to Your Employer.
  • Cross-check logged fuel data against supplier invoices for 2-stage fuel verification.
  • Generate maintenance tickets and alert management to critical safety issues before a truck moves.
  • Calculate tyre Cost-Per-Kilometre (CPK) and wear rates based on logged data.
  • Maintain legal compliance and audit trails for South African road transport regulations.

5. Data Sharing and Disclosure

We do not sell, rent, or monetize your personal data.

Because the App is a workforce tool, all data you input is synced to the CPKEye Control Room and is fully visible to:

  • Your Fleet Managers: Who monitor operations, maintenance tickets, and compliance.
  • Your Finance Team: Who review fuel logs and supplier invoices.

We may also disclose data if required by South African law, such as in response to a subpoena, court order, or formal request from law enforcement or transport regulatory bodies.

6. Data Security

We implement robust, industry-standard security measures to protect data transmitted from the Driver App to our servers. Data is encrypted in transit and securely stored. However, Your Employer is the primary data controller; any internal access controls, such as role-based access for fleet and finance managers, are managed by them.

7. Data Retention and Your Rights

As this App is utilized for enterprise fleet compliance, the retention of your logs, photos, and checklist data is determined by Your Employer's corporate policies and South African transport compliance laws, including requirements to retain pre-trip inspection logs for audit purposes.

If you have questions about modifying or deleting data you have submitted, you must contact your Fleet Manager directly, as CPKEye processes this data on their behalf.

8. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in App features or legal requirements. If we make significant changes, we will notify users via an in-app alert or through Your Employer.
